Thank you to all parents who help at St Vincent de Paul (SVDP) Catholic school, volunteering their time and their talents and making donations. Working together with our principal, teachers and support staff, we all help make SVDP a special place for our children.
There are many ways you can help make this school a  wonderful place for our children. Here are a few examples:
 
 
 1) Volunteer with the Catholic School Parents Council (the “CSPC”)
The CSPC works with the principal to support academic enrichment experiences for our students, and create a healthy learning environment for all our students. As current Ministry funding does not meet the needs of our students, parent council fundraises in order to provide classroom technology, STEAM learning tools, experiential opportunities, sports equipment, musical instruments, and more.  2) Help with one of our major events
The CSPC has traditionally organized these following events each school year:
 
a.   Parent Appeal :  This fall campaign encourages parents to make a donation to help pay for the coming year’s student needs – priorities are decided with guidance from our principal and staff, could include classroom technology, STEAM learning tools, experiential opportunities, sports equipment, musical instruments, and more. These are items that cannot be covered by our existing School Block Budget – which currently stands at about $84 per student for the year.
 
b.  Christmas Fair / Online Auction: Held annually on a Saturday at the start of Advent, the Christmas Fair is a chance for parents and kids to get together at SVDP.  The Fair includes Christmas tree and wreath sales, a book sale, bake sale, raffle baskets, fun activities for students, Christmas music performances by our talented students, as well as a chance to warm up with hot cocoa.
 
c.  Dance-a-thon:  Raising money for our students  for current priorities through pledges for our annual school-wide dance-a-thon. This year’s theme was ‘Back to the ‘80s. 
 
d.   First Holy Communion / Confirmation:  Parents help to organize a school luncheon to bring together students to celebrate the receiving of sacraments at one of our three local Catholic parents.
 
e.  Parent Socials / Pub Nights:  Strictly social event for parents to have fun, and gather at a local spot in Roncesvalles.
 
e.  Community Gatherings:   Whether it’s October’s Curriculum Night,  June’s High Park BBQ or other gatherings in between, parents help to organize events which build community and bring us together as SVDP school families.
 
f.   Graduation:  Grade 7 parents help to organize a reception and luncheon for our graduating class.
All of these great events need volunteers to make them successful.

 3) Volunteer in the Class
There are always many things going on in the classroom.  Let your child’s teacher know that you are willing to help.

LOOKING AHEAD TO SEPTEMBER:
 
Parent Council Elections are taking place on: Thursday, 25 September, 2019, 7pm
 
Please think about coming out and joining your fellow parents - our community needs you!
 
All parents are invited to become a voting member or seek a position on the executive. NOTE: Our current Treasurer and Secretary both indicated at the June CSPC meeting that they aren’t able to put their names forward for the 2019 -2020 school year.
 
Chair or Co-Chairs
·         Calls council meetings in consultation with the Principal.
  • Prepares the Agenda for Council meetings based on input from the CSPC and in consultation with the Principal.
  • Chairs Parent Council Meetings.
  • Ensures that the minutes of Council meetings are recorded and properly maintained.
  • Ensures that records of all meetings and financial transactions are kept for a minimum of four years and made available at the school for examination without charge to any person from the Catholic school community.
  • Participates in Board sponsored information, training sessions and share with CSPC.
  • Communicates regularly with the school principal in an effort to work co-operatively to enrichment opportunities and improve student achievement
  • Ensures that there is regular communication with the Catholic school community.
  • Works collaboratively with the members of The Council to prepare and submit an annual written report on the activities of The Council, including fundraising, to the Principal and the Board each year.
  • Prepares the Annual Report to be presented at the AGM. 
  • Consults with senior board staff as required.
  • Upon request, provides the local trustee with copies of the minutes of the meetings.
  • In addition, the Chair shall act as spokesperson for the council and carry out such other duties as shall be required from time to time.
 
 Skills/qualifications/availability/considerations
 
·         Shall be Catholic.
·         Team player, diplomatic and solution-oriented.
·         Available to meet at least once a month with Principal either before or after school.
  • Available to place cheques and funds in the safe.  
·         Available to attend monthly Executive Committee and CSPC meetings.
·         Responsive and accessible by email.
  • Works closely with a committee on one or two events throughout the year, if possible
 
Treasurer
·         Keeps full and accurate accounts for all receipts and disbursements of The Council in accordance with generally accepted accounting principles and shall be guided by Board Policy SM.04 Fund Raising in Schools in regard to banking and fund disbursements, in accordance with such requirements as may be imposed by the Board or other relevant authority.
·         Provides at regular meetings of The Council an account of all transactions of The Council, including the financial position.
·         Sets up appropriate systems for book-keeping, payments and petty cash in accordance with the TCDSB CSPC Financial Guidelines.
·         Prepares a full Year End Financial Statement for submission to the Principal and the Trustee, and, eventually the Board prior to the Annual General Meeting in September.
·         Prepares a full Financial Statement for submission to the Internal Audit Committee of The Council at least two weeks prior to submission to the principal and the Trustee, and, eventually, the Board for May of each year and the Annual General Meeting (AGM) in September.
·         The Treasurer shall perform such other duties as may be required by The Council or the Executive Officers of the council.
·         In the absence of the Chair, Vice Chair and Secretary or in the event of their inability, the Treasurer shall assume the duties of the Chair.
 
Skills/qualifications/considerations
·         Comfortable with basic accounting processes
·         Available regularly to connect with the School Principal/ School Secretary and CSPC chair(s) for cheque authorizations, and to pick up and deposit funds.
·         Available to attend monthly Executive Committee and CSPC meetings
·         Responsive and accessible by email
  • Works closely with a committee on one or two events throughout the year, if possible
 
Secretary          
·         The Secretary shall keep a record or all meetings of The Council and the Executive Officers, and shall deal with the correspondence or communications directed to or required of The Council and the Executive.
·         In co-operation with the Chair, ensure that all minutes and records of the council are available at the school for examination by any person from the Catholic school community.
·         Oversees logistics of monthly CSPC meetings including booking and paying the babysitter, setting up laptop and projector, etc.
·         Works closely with a committee on one or two events throughout the year, if possible
·         The secretary shall perform such other duties as may be required by The Council and the Executive Officers.
·         In the absence of the Chair or Vice-chair or in the event of their inability, the Secretary shall assume the duties of the Chair or such other duties as may be required by the Council of the Executive Officers.
 
Skills/qualifications/considerations
·         Good organization and writing skills
·         Available to attend monthly Executive Committee and CSPC meetings
·         Responsive and accessible by email
