School Cash Express (KEV) for CSPC Chairs

 
The following is step-by-step instructions to introduce CSPC’s to the KEV School Cash Express (KEV) functionality. The express option will allow CSPC’s to create their own orders that would be sent to the school principal for final approval and release. It will also allow the CSPC’s to track payments and run their own lists on a daily basis.
 
 
1. The CSPC is accessing Board student information on a limited basis and from time to time will come across confidential information. The following is the Board’s guidance: “Any parent volunteer (CSPC volunteer, in this case) who is cleared to work with fundraising money must be advised by the principal about the need to exercise discretion, and required to sign a confidentiality agreement before being permitted to assist. This strengthens confidence among parents that their personal information is being taken seriously, and a good privacy risk management practice.”
 
A copy of this confidentiality agreement is located below, and must be signed before access is granted to the CSPC by the principal.  This form must be updated annually. 
 
2. Access to KEV is limited to individuals with a TCDSB username and password. Each CSPC Chair are assigned these credentials when they are first elected. This is the school location code + cspc (e.g. 299cspc for Annunciation C.S.).  These are the same credentials used to log into to the TCDSB CSPC email account.  The school principals and VP are to reset/re-activate the CSPC Chair password if not already completed this year. Instructions would have been emailed in September.
 
 
3. The school principal can now attach the CSPC username to the KEV program. They have received procedures for this under a previous email.
 
 
4. There are two levels of access the principal may assign, Full access or Read-Only access. Whichever access is chosen, the principal will always have final say in the communication to parents.
 
 
5. Attached is a step-by-step guide (below) as well as a short training video . Any events created by the CSPC Chair will require approval of the school principal first.  This allows the principal to make any necessary changes, adjust the fees, and attach students before they are distributed to the broader public.
 
 
6. When you have issues with the system please resolve them with the school principal or secretary first. If they cannot resolve the issue, they will escalate it to the appropriate resource at the Board.
 
 
7. The success of your initiatives is directly related to the percentage of parents registering their children in the system. We encourage CSPC’s to engage their community in participating in this initiative.
