Dear TCDSB Community,
The Toronto Catholic District School Board (TCDSB) values the contributions of volunteers and is committed to maintaining safe and supportive learning environments for all students. To support this shared commitment, effective immediately, all volunteers are required to complete a Police Record Check through their local police service. The type of Police Record Check required depends on the type of volunteer activity.
Criminal Record and Judicial Matters Check (CRJMC)
CRJMC is required for volunteers who:
Assist with in-school or classroom activities, or day trips.
Will not be responsible for supervising or directing students.
Will have only limited contact with students.
Examples of volunteer activities that require a CRJMC include:
Distributing snacks
Assisting with fundraising events
Supporting book fairs or fun fairs
Participating in classroom activities under the supervision of school staff
Fee Waiver for a CRJMC
A letter to request a fee waiver is available on the Board’s Volunteering With Us page.
To receive the fee waiver:
Complete the fee waiver letter.
Submit the letter to the school Principal for signature.
Obtain the signed letter before applying for your CRJMC.
Include the signed letter with your CRJMC application.
Vulnerable Sector Check (VSC)
VSC is required for volunteers who:
Have direct and ongoing contact with students.
Supervise or direct students.
May be unsupervised with students.
A VSC is also required for volunteers who:
Participate in overnight trips.
Assist with swimming-related trips or activities.
Coach students.
Please note that the cost of obtaining a Vulnerable Sector Check is the responsibility of the volunteer.
How Often Do I Need to Complete a Police Record Check?
Once you have submitted the required Police Record Check and are an active school volunteer, you do not need to obtain a new check for every volunteer opportunity. However, if you previously submitted a CRJMC and your volunteer role changes to one that requires a VSC, you will need to obtain and submit a VSC before participating in that activity.
To remain eligible to volunteer:
An updated Police Record Check must be submitted every five years.
In the years between Police Record Checks, volunteers must complete and submit an Annual Offence Declaration.
How Do I Apply for a Police Record Check?
Step 1: Complete the School Form
Complete the required volunteer form.
Email the form to the school Principal.
The Principal will sign the form and return it to you.
If you are applying for a CRJMC, the signed form may be used to request a fee waiver.
Step 2: Apply for Your Police Record Check
Apply through the Toronto Police Service (or your local police service if you live outside Toronto).
Include the signed form from the Principal with your application.
Apply as early as possible, as processing times may vary.
To have your form signed before schools close for the summer, submit it to the Principal before June 30, 2026.
After June 30, forms can be submitted when school offices reopen on August 31, 2026.
Step 3: Keep Your Completed Record Check
Keep a copy of your completed Police Record Check.
Please note, for those applying in Toronto, online results remain available in your Toronto Police Service account for 90 days only. Be sure to download and save your Police Record Check before it is removed.
The Board will share more details before September on how to submit your documentation through the Board's volunteer screening system.
Volunteers must receive a Clear status from the Board before participating in volunteer activities.
